The Operations Coordinator position is a working leadership role that will help lead a team and support day to day department responsibilities to help ensure contract compliance and meet agreed upon service level agreements. It will also provide a career growth opportunity to work with the leadership team that will transform the Credentialing and Licensing Department system and processes to our next generation platform.

In this working leadership role, the successful Operations Coordinator will acquire in-depth operational knowledge of the Credentialing and Licensing Department. This key role will work closely with the Sr. Director of Operations to help run our daily application intake operations, assign work, balance workloads, ensure contract compliance, and review team's work quality. This role will also assist with the new employee hiring process and employee development (performance evaluation, and training). The Operations Coordinator provides a unique opportunity to assist with a key company project and launch of a new platform!

  • Support team members and provide management duties when needed.
  • Assist with the implementation of our new database system.
  • Assist with hiring new team members and ongoing employee training.
  • Resolve team member questions, assist with member Issues/problems, and provide oversight for team members to ensure quality work and ensure contract compliance.
  • Generate and share comprehensive reports about team performance, mission related objectives, and initiatives within expected deadlines.
  • Provide quality customer/client service, including interacting with customers/clients, answering inquiries, and effectively resolving complaints.
  • Handle confidential documents in a secure manner.
  • Prepare written responses to candidates regarding application discrepancies.
  • Serve as a quality control agent, informing department manager of recurring issues and/or ideas for decreasing call volume.
  • Review candidate complaints, process refunds and payments.
  • Create monthly client payment reports.
  • Assist with data entry, mail opening and sorting, sending mail backs, payment processing, documentation scanning, boxing, and storing incoming mail as required by contract.
  • Work in the Nashville Office, when necessary (check deposits, mail, or other support).
  • Other duties may be assigned.

As our next Operations Coordinator, you will bring:

  • Team leadership experience
  • Knowledge of performance metrics
  • Good PC skills, especially MS Excel
  • Experience with databases

  • Adaptability, flexibility, communication (good people skills), willingness to learn and grow
  • Education Desired: Degree in management, training, team leadership (or equivalent experience)
