SUMMARY

The Program Specialist oversees day-to-day client services operations and project management. Duties include working group and committee support, coordination of cross-functional service areas and schedules, project support and task execution for designated client(s) activities. Makes recommendations to continually improve client committee and working group processes to drive client success.

  • Develop Member relationships and engagement within assigned client(s)
  • Drive group collaboration (both face to face and conference calls) of assigned client(s), by working directly with committees and chapters to:
    • Manage web meetings and webinars
    • Facilitate scheduling
    • Set agendas
    • Draft minutes
    • Document action items
    • Follow up as needed
    • Document procedures and recommend improvements
  • Work closely with client lead to collect relevant information to develop, analyze, modify, and own project plans complete with dependencies, often around the onboarding of new clients to Virtual.
    • Work with key internal stakeholders during each phase of the project life-cycle
    • Clearly communicate the overall scope, timing, budget, resource analysis, and deliverables to all team members
    • Identify new requirements, gaps, and work that is out of scope and clearly communicate to key stakeholders
    • Provide clear, frequent and effective communication to key stakeholders in a matrix environment
    • Provide timely and accurate reporting to all stakeholders
    • Manage projects within a PMO-type tool set
  • Execute the membership process for assigned client(s), including:
    • Member benefit packages
    • Orientation of new members
    • Membership renewals
    • Recruitment of new members
    • Creation and execution of processes
    • Membership reporting
  • Implement and improve upon client policies, tools, programs and procedures.
  • Coordinate the delivery of membership programs and benefits in accordance with client strategic plans.
  • Respond to inbound questions and requests from members and the public at large.

  • Collaborate with the Virtual marketing and communications team in the development and implementation of communications initiatives, including webinars, presentations, collateral, membership recruitment and other marketing materials.
  • Work with the Virtual events team in the execution of events as needed.
  • Assist with client website management.
  • Assist with setting up tools and platforms:
    • Work closely with Tech Solutions team to implement new tools
    • Create appropriate processes and revisions to processes with regard to new tool adoption
    • Communicate closely with members and client leadership to ensure a smooth launch
    • Integrate new tool into workflow
  • Implement other client or client services team initiatives or projects as needed.

As our next Program Specialist, you will bring:

  • Bachelor's (B.A./B.S.) degree required
  • Two to three years' experience in project coordination and/or experience in Industry Association environment
  • Detail-oriented, with strong, effective organizational, problem solving and time-management skills, including the ability to manage multiple tasks and deadlines simultaneously in a fast-paced, deadline-driven environment
  • Must be a self-starter, with the ability to work independently with limited supervision and work well under pressure
  • Ability to listen attentively to fully understand the client's needs and find solutions
  • High level of creativity and "rolled up sleeves" working style
  • Excellent customer service, communication, both verbal and written, and interpersonal skills
  • Experience working with multiple cultures across all time zones a plus
  • Computer proficiency, specifically with Microsoft Office Suite; Salesforce, CRM-type platforms, PMO-type tools such as Wrike
  • Willingness and ability to travel up to 25%. Valid passport required.
